The XPONENTIAL 2025 Housing Bureau will accept new hotel reservations, changes, and cancellations until 9 AM CST on Wednesday, April 23, 2025, or until rooms sell out, whichever comes first.

Unauthorized travel agencies, wholesalers, and destination management companies have been contacting attendees and exhibitors, offering what might appear to be lower rates at hotels for XPONENTIAL. The intent is to convince you that the offer is made on our behalf, or that the soliciting company is associated with us. This is not true. The exclusive provider for XPONENTIAL housing is Showcare.
When XPONENTIAL secures sleeping rooms at hotels for our event (commonly referred to as room blocks), we research the properties to make certain that our attendees and exhibitors are adequately accommodated. These room blocks are established to ensure that rooms meet our standards and are offered at a discounted price.
We have been informed that registrants are often contacted by fax, email or most often by phone with offers for cut-rate housing. The intent is to convince you that the offer is made on our behalf, or that the soliciting company is associated with us. This is not true. The exclusive provider for XPONENTIAL housing is Showcare.
HOW THEY DO IT
Room poaching is a practice carried out by third-party companies that act as travel agencies, wholesalers, or destination management companies to solicit registrants for room reservations. They manually scour publicly available sources to identify those that may attend the event. The poacher might inform registrants that the hotel room block is “sold out,” and that if you do not book with them immediately, you may not get a room. Additional deceptive tactics include distributing forms or promotional materials that appear to be issued by XPONENTIAL.
- Room poachers make it more difficult for us to meet our room block commitments and expose us to potential penalties and increased room rates for our events.
- Room poachers often don’t deliver on promises to customers. When customers arrive, reservations are non-existent, or the hotels are not conveniently located. Sometimes the rooms have been cancelled and hefty cancellation fees have been placed on the customer’s credit card.
- Poachers often represent themselves as being affiliated with us by illegally using our logo or creating a version with the AUVSI, MDNA, or XPONENTIAL logos.
HOW YOU CAN HELP
Don’t be misled! If you are contacted by anyone other than Showcare asking if you need a room for XPONENTIAL, please get as much information as you can and pass it on to us at xpo@mdna.com.
Make your housing reservations via the XPONENTIAL housing site, which is linked from the XPONENTIAL website. Never give your credit card or personal information to someone on the phone offering to make your reservation for you.
XPONENTIAL 2025 SUBSIDY DISCLOSURE
XPONENTIAL receives a minimal subsidy from official XPONENTIAL hotels based on the number of XPONENTIAL guestrooms used at these hotels. The subsidies received are used toward various event-related expenses, such as production and housing. Therefore, everyone benefits when you select an official Conference hotel for your lodging.
